THE CHALLENGE

Best of San Francisco from San Jose

Seb and his corporate team were visiting Silicon Valley on business for an artificial intelligence summit, an executive briefing in California to meet with potential AI investors. But after a week of meetings in San Mateo, a tech-heavy town just south of San Francisco, Seb wished to get his team out of the office for a day of sightseeing, preferably in nature and with fresh air, where the group could truly enjoy their time with each other in or near San Francisco.

He and his assistant approached us with their request and, following a brief exchange of ideas, we collaborated on his team’s adventurous day in the Bay Area.

Connect by Phone

Seb called us and began to explain his situation. His team of eight (including Seb and his assistant) wanted to explore Northern California – a free day with his team between meetings – including famous hikes with a memorable lunch spot. Since the team had limited time (they were from England and were rookies in San Francisco), he wanted us to take care of all the planning and operations, so his group could just show up.
Questions

We began to ask questions about their idea of a memorable day. Besides the request for nature and fresh air, what was the groups’ age range? Were there any mobility limitations? Had any of his team visited the Bay Area before? Once our guides knew the full story – most importantly their time frame and budget – we could begin to point them in the right direction, whether their private offsite was with us or better operated by another supplier.

The time frame was most important for Seb, having only one day to explore San Francisco from Silicon Valley, with a dinner scheduled that night at 6 p.m. Longer time frame options for groups in San Francisco include private Napa Valley wine tastings, Yosemite wilderness hiking and exploring the legendary California coastline.

How We Planned

Our initial step was to actively listen and gain a good understanding of Seb’s idea for their free day. Often, guests have a good sense of the San Francisco sights (thanks to the wealth of free information available online). However, a direct conversation with a private guide who knows and understands California travel, including tourist and traffic patterns, is always best. Seb and his assistant, Sam, recognized this and found that we matched with their team’s personality, especially in regard to the feeling they wanted their group to have in the end. After discussing their constraints, we were able to fine-tune their hiking/walking day in San Francisco.

Rooming List

No Rooming List was required as Seb and his group were already in town for their weekly meetings, with their hotel reserved in Silicon Valley.

Extra options included Muir Woods, a private lunch with catered meals and more. Nothing was off the table as long as they could keep their exploring within their budget and time frame.

Once their itinerary was selected, we accepted Seb’s deposit and sent the confirmation documents to their group.

The Itinerary

Yosemite National Park, the famous wilderness location and their first choice for a hiking destination in nature, was too far away for their group’s time frame, so Seb and Sam chose a location to hike closer to Silicon Valley and San Francisco, Muir Woods. After a thorough conversation by phone with our guides, we planned a day entailing exploration among the tallest trees on earth, with a few San Francisco urban hikes sprinkled in for even more entertainment.

Our guides would provide the day’s itinerary, lunch reservations and handle all the details from beginning to end; Seb’s team only needed to show up to their hotel’s front door ready to go, dressed in proper hiking attire.

DAY ONE

Morning Agenda

We picked up the eight-man team, including Seb and Sam, from their Silicon Valley hotel in our luxury Mercedes Sprinter, with our private driver and guide ready to show them the best of the Bay Area, providing insight into San Francisco’s history, current events and a few unique hikes. Neighborhoods on our hitlist included Chinatown, Fisherman’s Wharf and Nob Hill before an enchanting day of hiking in picturesque Muir Woods.

8 a.m.

After picking up the team in San Jose, we headed toward San Francisco. The crew was ready, dressing correctly in everything needed for an adventurous day, such as comfortable shoes, dressing in layers and carrying small bags for any personal supplies and sunscreen. Our guides provided plenty of waters for hiking.
Welcome to the Bay

We showed the San Francisco we love by diplomatically explaining the problems of our town paired with the world-famous landmarks. Instead of pretending the homeless dilemma doesn’t exist (although everyone with an Internet connection knows about the problem), our private guides choose to provide insight. To us, a quality private offsite is about understanding your destination in a transparent way.
10 a.m.

Once their itinerary was selected, we accepted Seb’s deposit and sent the confirmation documents to their group.

Included Seafood Lunch

After viewing and experiencing the Golden Gate Bridge from multiple angles, pointing out the city’s self-driving cars along the way (Seb and his team knew all about the details – they were in town to pitch the same AI products), we crossed the bridge to explore Sausalito, a charming and small coastal town north of San Francisco. Although many quality restaurants dot the shoreline, we suggested a seafood location frequented by locals and celebrities alike.

12 p.m.

The team enjoyed lunch, complete with calamari, crab cakes and clam chowder served in a sourdough bread bowl. Coming from England, bordered by water, the crew was delighted to immerse themselves in San Francisco’s famous sea fare.
1 p.m.

To walk off lunch, the team strolled along Sausalito’s walking promenade of shops (with some of the team hunting for souvenirs for their family members) before hopping into our private Mercedes for our ride to Muir Woods’ evergreen-scented hiking trails.
Private Muir Woods Tour

Currently, the National Park Service does not allow private guides inside the Muir Woods’ gates. This is to preserve the integrity of the park and to not disturb the solitude of nature, a practice with which we agree. Our private guides instead gave Seb’s team a rundown of their best hiking options, leaving each guest to discover the serenity of the big trees individually.

Napa Wine Tasting in San Francisco

We then made our way to Muir Woods, the closest location to San Francisco for big trees. Recognized as the tallest trees in the world (think of their branches reaching high into the sky to drink the misty fog), the California redwoods are an awe-inspiring sight for any visitor, and Seb’s group was no different. We tailored their Muir Woods adventure to their hiking skills, so everyone felt confident, eager and welcome on the trails.

2 p.m.

With a proper introduction by our private guides, the team hit the trails for their afternoon in nature. Options included medium to hard hikes, browsing the gift shop to purchase a miniature “giant” sequoia seedling, and more. The group was excited to be out of their meetings, confident in their hiking abilities and in search of the elusive banana slug.
3:30 p.m.

After looping around a few trails in Muir Woods, hiking below trees more than 800 years old, with birdsong as natural music, the team returned to our private Mercedes Sprinter (and cell signal) for our ride back to Silicon Valley. Our private guides strongly believe that nature is a great way to energize one’s spirit.

Cable Car to Dinner

With their Muir Woods hikes now complete, with satisfied legs, they beamed as we made our way back down the peninsula toward their hotel, stopping at a few unforgettable viewpoints as the cherry on top. By the end of our informative, adventurous and relaxing day (as described by the team themselves, not us), we headed back to Silicon Valley in time to clean up for dinner.

4 p.m.

With the fog now clear, we drove to the Marin Headlands (where vehicles over 30 ft. are not allowed) for views of the Golden Gate Bridge at sunset. The team was grateful for their easy, turnkey hiking day in California as they looked at the home of 800,000 residents from the best view in the city.
5 p.m.

The group then returned to San Mateo and their hotel, happy about their day in nature while also learning about San Francisco’s historic past and present, the growth and issues of the Bay Area and more. They agreed that the city they saw was not the same as what they’d viewed online.
